Scan receipts to PDF before they fade
· Document guides
Thermal paper is temporary by design: heat, sunlight or a wallet's friction and the ink literally disappears — sometimes within months. If a receipt matters (warranty, expense claim, tax deduction), its only durable form is a scan taken early.
Receipt-specific technique
- Flatten the curl: fresh receipts roll. Pull one gently over a table edge to relax it, or pin the ends with coins outside the crop.
- Dark background — receipts are the whitest paper around; on a dark table the auto-crop locks on instantly.
- One receipt per page is best for legibility; several small receipts photographed together as one page also works when they're for the same claim.
- Get the total and date sharp — that's what an auditor or warranty desk actually reads.
Batching a pile
- Photograph every receipt in one sitting — same spot, same light.
- Open ToPDF, select all the photos at once; they scan in sequence into one document (up to 20 pages).
- Reorder by date if you care, name it like “Expenses-Berlin-Trip-2026-06.pdf”, download.
Filing that survives tax season
One PDF per claim/trip/month beats one PDF per receipt — fewer files, natural grouping, easy to attach to an expense report. Keep originals for whatever period your tax rules require, but rely on the scans for reading: in two years the scan will be the only legible copy. More workflow in tax-season scanning.
Frequently asked questions
Are scanned receipts accepted for taxes and expenses?
In many jurisdictions and most companies, yes — clear digital copies are standard. Some tax regimes have retention rules about originals; keep the paper in a box until you have confirmed yours.
A receipt has already faded. Can scanning recover it?
Enhancement lifts weak contrast, so a partly faded receipt often becomes readable again. Fully vanished thermal print has no information left to recover — scan earlier next time.
Long receipt, longer than my frame?
Photograph it in two overlapping halves and scan them as two pages — recipients care about legibility, not single-shot artistry.
