Tax season without the shoebox: a scanning workflow
· Real-life workflows
The shoebox method fails at the worst moment — filing week, when the faded receipt for the big deduction is somewhere in the middle. Replace it with a scan-as-you-go stream and a labelled folder.
Year-round: the two-minute rule
- Tax-relevant paper arrives (receipt, certificate, statement).
- Within the week: scan in ToPDF (thermal receipts sooner — they fade).
- Name to pattern: “2026-Donation-{Org}.pdf”, “2026-Medical-{Provider}.pdf” → drop in
Money/Taxes/2026.
That's the whole habit. The folder assembles your return all year.
Filing week
- Sort the folder by name — the YYYY prefix groups everything; categories read at a glance.
- Cross-check against last year's deduction list for anything missing.
- Attach scans directly where e-filing accepts them; where only originals count, the scan tells you which paper to fetch.
After filing
Move the year's folder under Archive, keep it for your jurisdiction's retention window (rules of thumb) — indefinitely, really, since scans cost nothing to keep and audits ask old questions. Paper originals: box the ones rules require; shred the rest.
Frequently asked questions
Are scans enough if I get audited?
Clear scans satisfy most documentation requests; some jurisdictions want originals for specific items. Keep required paper boxed by year and let the scans do the day-to-day answering.
Freelancer with hundreds of receipts?
Scan in monthly batches (multi-select handles a stack in minutes), one PDF per month per category — “2026-06-Materials.pdf”. Your accountant will send heart emojis.
