Scan a birth certificate to PDF (old paper, stamps and all)
· Document guides
Birth certificates are often the oldest paper in the house — folded for decades, stamped, sometimes handwritten. They're also needed at the worst times (passport applications, school admissions), so a good digital copy made calmly today saves a frantic search later.
Preparing fragile paper
- Unfold and flatten gently. Lay it under a heavy book for an hour if the folds fight back; never iron old paper.
- Weigh down curling corners with coins placed just outside where you'll crop.
- Mind the folds: shoot with light coming from the side along the fold lines, not across them, so the creases cast minimal shadow.
Scanning it
- Dark background, document flat, camera directly above.
- Scan in ToPDF — the enhancement evens out age-yellowing and lifts faded print without cartoonish over-processing.
- Inspect at full size: names, dates, registration numbers, the seal. If a fold shadow crosses text, re-shoot with the light rotated.
- Name it for the decades: “Birth-Certificate-{Name}-{Year}.pdf”.
Stamps, seals and handwriting
Officials look for the seal and signature as much as the text. Embossed (colourless, pressed) seals are nearly invisible head-on — a slight sideways light makes their relief cast micro-shadows and show up in the scan. Handwritten entries in old ink benefit from the same trick.
Frequently asked questions
The certificate is bigger than A4 — problem?
No. ToPDF crops to the document’s own shape; the PDF page simply matches it. Just make sure the whole sheet is inside the photo with margins.
Should I scan the back if it’s blank?
If the back carries stamps, registrations or annotations, scan it as page 2. A truly blank back adds nothing.
Can I fix a tear digitally?
Don’t. Repairing the image of an official document crosses into falsification. Scan it as it is; offices see aged documents daily.
