Organising scanned documents so you can find anything in 10 seconds
· PDF knowledge
Scanning is step one; retrieval is the actual goal. The good news: a life's documents need embarrassingly little system — one folder tree, one naming pattern, one small habit.
The folder tree that scales
Shallow beats clever. Six top folders cover almost everyone:
ID(passports, cards, licences)Home(lease/deed, utilities, repairs)Money(bank, taxes by year, insurance)Health(per person)Work-Education(contracts, certificates)Archive(closed matters, by year)
Resist deep nesting — search handles the rest when names are good.
The naming pattern
What-Who-When: “Lease-Rossi-2026-07.pdf”, “Passport-Amina-2031exp.pdf”, “CBC-Haris-2026-07-01.pdf”. Dates as YYYY-MM sort chronologically by themselves. ToPDF's name suggestions give you the Who/What head start — add the When and file it.
The two-minute weekly habit
- Open Downloads once a week.
- Every stray scan: rename to pattern → move to its folder (→ delete if it was transient).
- Done. The system stays trustworthy because the inbox stays empty.
Frequently asked questions
Cloud folder or local?
Wherever your discipline and threat model meet: encrypted local + backup for maximal privacy; a trusted cloud with 2FA for cross-device ease. The scheme works identically in both.
What about a dedicated document-manager app?
They add tags and OCR search at the cost of lock-in. Plain folders + names are portable across every future device and app — start there; add tooling only when a real need appears.
