Sharing ID copies safely: rules that prevent 90% of misuse
· Privacy & safety
ID copies are the currency of modern bureaucracy — and of identity fraud. You can't avoid sharing them; you can make each share deliberate, narrow and traceable.
The five rules
- Challenge the ask once: “Is a copy required, or is showing it enough?” Surprisingly often, sight is enough.
- Official channel only: the org's portal or stated address — not an individual's personal WhatsApp “to speed things up”.
- Minimum pages, minimum fields: if the purpose allows masking (e.g. partial numbers), mask on a copy.
- Label the purpose on the copy where practical: a visible line like “For X bank KYC — 2026-07” makes a leaked copy useless elsewhere. (Write it on paper before scanning, or add it digitally alongside — never alter the document's own content.)
- Log it: a one-line note of who/when/why. Erasure requests and breach news become actionable instead of vague dread.
Channel ranking
| Channel | Verdict |
|---|---|
| Official upload portal (HTTPS) | Best — purpose-bound, access-controlled |
| E2E-encrypted messenger to a verified contact | Good for informal-but-legit requests |
| Acceptable when required; assume it persists forever | |
| Public links / open cloud folders | Never for IDs |
Scan step: keep it clean
Producing the copy shouldn't multiply it: an on-device scan (ToPDF) means the only copies are the ones you deliberately send and save. From there the rules above are the whole game.
Frequently asked questions
Is watermarking a copy legal?
Adding a visible purpose note beside/across empty areas of a copy is widely accepted practice for personal protection; altering the document’s substantive content is not. When a verifier requires clean copies, comply through their secure channel.
Someone asks for ID over the phone/urgent chat. Red flag?
Urgency plus unusual channel is the classic social-engineering pattern. Slow down, verify the requester through the organisation’s public contact, then use the official channel.
