PDFs for job applications: documents that pass HR systems
· PDF knowledge
Application portals are unforgiving: file-type filters, size caps, and humans skimming a hundred attachments. PDF is the passkey format — and small details separate “processed” from “problem”.
Portal-proof files
- .pdf only — image uploads get rejected or mangled by ATS systems regularly. (Why.)
- Under common caps: 2–10 MB per file is the usual window; well-lit scans sit comfortably inside it.
- One document type per file: “Degree.pdf”, “References.pdf” — matching the portal's upload slots.
- Readable names: “Certificate-MSc-{YourName}.pdf” — recruiters download these into folders full of strangers' files.
Scan quality is a proxy signal
Fair or not, a straight, evenly lit certificate says “detail-oriented”; a shadowed bed-photo says the other thing. The 30-second checklist plus auto-crop produces the former by default. Check names, grades and seals at zoom before uploading — a re-request for “a clearer copy” costs days in a moving process.
The reusable application pack
- Scan each credential once, properly: degree, transcripts, references, ID page if requested.
- Keep them in an “Application-Docs” folder with stable names.
- Per application, upload the pack or merge selected pages as the portal demands — scanning happens once, applying happens many times.
Frequently asked questions
Should the CV itself be a scan?
No — export your CV from its editor as a born-digital PDF (selectable text for ATS parsing). Scans are for paper-born credentials.
Portal wants "all certificates in one PDF"?
Scan or re-assemble them as pages of one document — ToPDF’s multi-page flow with drag-ordering was built for exactly this.
